Email Encryption

Email is prone to disclosure of information. Email encryption protects the content of email messages from exposure to entities other than the intended recipients.

At SHSU, we use features provided in Office 365 to allow SHSU users to encrypt email on a case-by-case basis when sending to recipients outside of the organization.

Frequently Asked Questions

• Can I send an encrypted email to someone off campus (non-SHSU email address)?

  Absolutely. Just enter the {encrypt} tag anywhere in the subject or body of the email.

• Can I send an encrypted email to someone on campus (SHSU email address)?

  No, those messages are already secure. Email sent from an SHSU email address to another SHSU email address never leaves our network, therefore there is no opportunity for disclosure of information during email delivery.

• Is there a way to confirm my message was encrypted?

  There will be no way to directly verify that the message was encrypted other than contacting the recipient. If you are concerned about the system functionality, you can send a test email to your offsite email address (non-SHSU address) to verify.

• What should I do if I do not receive the one-time passcode?

  If you do not receive your one-time passcode, click the "get another one-time passcode" link to receive another.

• Is the tag, {encrypt}, case-sensitive?

  No, the tag is not case-sensitive. Any form of the tag, {Encrypt}, {ENCRYPT}, etc. will encrypt the message.

• Is there specific email software or browsers that I must use to encrypt emails?

  Any email client (desktop application or web browser client) may be used to send an encrypted SHSU email. The {encrypt} tag is the only requirement.

• Are attachments encrypted as well when using the {encrypt} tag?

  Yes. The entire message and attachments are encrypted.
