Payroll Action Forms

  1. Payroll Action Forms (PAF’s) authorize payroll transactions. Payroll checks will NOT be generated without a properly completed PAF for the individual, despite preparation of time sheets. The PAF’s must be received in the payroll office by the third working day after the end of the pay period. PAF’s received after this deadline will be processed in the next succeeding payroll period.
  2. The payroll office is the point of data entry for these documents. Accordingly, only complete PAF’s (i.e., forms that have all required signatures, correct employee information, departmental costing information, etc.) will be processed. Incomplete or incorrect PAF’s will be returned to the Human Resources Department without being processed.
  3. Departments that have non-budgeted positions should prepare PAF’s at the beginning of each fiscal year to establish on payroll records those employees in each of the non-budgeted positions.
  4. All PAF’s receive in the payroll office will be recorded online and receipt can be verified by the department through PAFS01M on Nell. Receipt of the document does not guarantee entry for the upcoming payroll, rather that the form has been received and is being processed.
  5. The approximate processing time for a PAF, from departmental origination to entry into the payroll system, is approximately ten days.
  6. PAF’s can be prepared by using PAFF01M, Payroll Action Form Maintenance on NELL. PAFF01M completes some of the necessary information and helps reduce the amount of errors that traditionally occur in preparation. This program is accessible to those designated by the department head. Once completed, the PAF must be printed and sent for proper signatures.
