TITLE: Secretary II HIRING SALARY: $1,918 - $2,637/Month

EDUCATIONAL & EXPERIENCE REQUIREMENT:

High school graduate or G.E.D. equivalent, including or supplemented by typing, and/or business practice courses.  A minimum of three (3) years relevant work experience, including at least one (1) year of experience as a secretary or its equivalent.  Or a combination of education, experience, and training that would produce the required knowledge and abilities.

NATURE & PURPOSE OF POSITION:

To provide advanced clerical and secretarial skills for the performance of duties of a difficult or complex nature which require the frequent use of discretion and independent judgment.  Responsible for serving in a secretarial capacity for an academic department chair and the faculty members, the head of a small department or administrative office, or the second ranking executive or administrator of a large department or project.

PRIMARY RESPONSIBILITIES:

Performs a variety of clerical and secretarial duties such as: exercises responsibility for the utilization of correct format, grammar, punctuation, and spelling; typing a variety of material, including manuscripts, from very rough drafts which involve special formats and complicated footnotes and bibliographies; maintaining bookkeeping records pertaining to budgets, grants and contracts as required by the supervisor; making arrangements for meetings and conferences, notifying participants of dates, times and locations, and takes and transcribes the minutes of such meetings and conferences as directed by the supervisor; receiving and screening visitors; making appointments for the supervisor; maintaining confidential records and files; composing routine correspondence; receiving, sorting, and distributing mail; and,  searching for, assembling, and organizing materials required by the supervisor.  May assist in the preparation of quarterly, annual, and other periodic reports.  Performs other related duties as assigned.

OTHER SPECIFICATIONS:

Use of computer, copier, printer, typewriter, and standard equipment common to most offices.  Must type a minimum of 55 words per minute net score.   Proficiency in the use of English, spelling, and business mathematics.  Work is performed mostly in a semi-private office area with an almost complete absence of disagreeable working conditions.  May spend but not necessarily limited to from 25 percent to 50 percent of time on routine contacts with others such as receiving visitors and providing information in person or by telephone to other departments and offices or to the general public.
