EDUCATIONAL & EXPERIENCE REQUIREMENT:
High school graduate or G.E.D. equivalent, including or supplemented by typing, and/or business practice courses. A minimum of five (5) years relevant work experience, including at least two (2) years of experience as a Senior Secretary or its equivalent. Or a combination of education, experience, and training that would produce the required knowledge and abilities.
NATURE & PURPOSE OF POSITION:
To provide advanced clerical and administrative skills including stenographic skills as required, for the performance of duties of a very difficult or complex nature which require an almost constant use of discretion and independent judgment. Responsible for serving in a secretarial capacity either to (a) an executive or professional of second echelon rank or (b) the head of a large department or project where responsibilities include initiating and coordinating clerical and secretarial functions.
PRIMARY RESPONSIBILITIES:
In addition to normal duties expected of other lower secretarial positions, will perform more complex and responsible tasks such as but not necessarily limited to the following: answers correspondence not requiring the attention of the supervisor or involving policy or technical decisions; prepares and signs supervisor’s name to correspondence, memorandums, requisitions, personnel actions, and other similar papers; in the absence of the supervisor acts with authority relating to office management functions, making limited policy interpretations and decisions requiring a knowledge of the supervisor’s viewpoints; reviews and allocates incoming mail to appropriate personnel within the department or project based upon a knowledge of the organization and its function. Assists in the preparation of departmental or project budgets, grant applications, and periodic status reports of grant funds. Performs other related duties as assigned.
OTHER SPECIFICATIONS:
Use of computer, copier, printer, typewriter, and other standard equipment common to most offices. Must type a minimum of 55 words per minute net score. Proficiency in the use of English, spelling, and business mathematics. May spend up to but not limited to 25% of time on important contacts which involve the reception of, or providing information, to department heads, key executives, public officials, and distinguished visitors. Flexibility to work evenings and weekends when assistance is required at specific events.
