What Should I do if I am Graduating?

Prior to the date of Commencement Ceremonies

  • Apply online for graduation. The final day to apply for graduation is the Friday before finals begin.
  • Order, pay, and pick up your cap and gown.
  • Caps and gowns may be ordered from the Barnes and Noble bookstore located in the Lowman Student Center on campus. Their phone number is (936) 294-1862.
  • The tassel is normally ordered at the time the cap and gown are ordered and arrives with the cap. Please make sure your cap and gown include the tassel.
  • The cap and gown are required to participate in the commencement ceremony.  The tassel is optional.
  • Master's and doctoral students will be required to order the appropriate regalia in accordance with their degree programs. The Barnes and Noble staff are able to direct candidates to the appropriate gowns to be ordered.
  • Undergraduate students only have graduation honors recognized at the commencement ceremonies. Honor cords are provided to those students meeting the requirements for graduation honors.
  • The information on this page will provide you with details regarding the ceremony. Please read all the information on this page to inform your guests, as well as understand the details of the graduation day.

Regarding Graduation Honors for Commencement

  • The designation of honor recognized at commencement is based on the student's grade point average as the 12th class day for fall and spring terms, and the 6th class day for summer terms. The grades for the term of graduation are not calculated into the honors recognition at the commencement ceremony. However, after the commencement ceremony the finals grades for the term are used in the determination of the honor to be posted with the student's awarded degree.

Arrival Instructions to the Woodlands Church Campus

  • There is NOT a dress rehearsal for the commencement ceremony.
  • Candidates should arrive one hour prior to the start of the ceremony at the Woodlands Church Campus located at One Fellowship Drive, The Woodlands, TX 77384.

For the morning commencement ceremony, doors will open to the public at 8:00 am.  Students and guests will not have access to the building prior to this time.

Note: When searching the WC.ORG (https://www.wc.org/locations/) site for directions, be sure to select the campus located in The Woodlands, TX.

  • SHSU staff ushers will be stationed in various locations on the premises to direct candidates to the appropriate location within the building.
  • SHSU University Faculty Marshals will further instruct candidates regarding the line-up and procession.
  • A seating card will be provided to each candidate which should be kept until approaching the stage.  This card is handed to the marshal on the stage for the announcing of the name.
  • Students graduating with honors will receive their honor cord at the time of line-up.

Honors recognized at the ceremony include: Cum Laude, Magna Cum Laude, Summa Cum Laude, and Honors College (see http://www.shsu.edu/dept/registrar/graduation/commencement/latin-honors.html for Latin Honors requirements).

  • VERY IMPORTANT to arrive with cap, gown, and tassel. The cap and gown are required for participation in the ceremony, however, the tassel is optional.
  • Master's and doctoral candidates must arrive with their respective gowns and hoods in order to participate in the ceremony.
  • Staff are not responsible for any personal belongings (such as purses, wallets, keys, phones, etc.) left behind in the line-up rooms. Be prepared to have your guests take your personal items rather than leaving the items behind unguarded.
  • Flash Photography is the professional photographer contracted by the university for commencement ceremonies.  Their photographer will be on the stage to take a photo as candidates shake hands with the President.  There will also be a staged setting as you exit the stage for a photograph taken by the professional photographer.
  • Please dress in accordance with the formality of the event. Walking is required with the processional into the auditorium. be aware that high heel shoes or boots may be a safety hazard when wearing the graduation regalia (cap and gown). Consideration of this safety hazard should be exercised in order to avoid any potential injuries.

What to Expect at the Ceremony

  • The marching order for the commencement ceremony:
    • President's Platform Party
    • University Faculty
    • Doctoral Candidates
    • Master's Candidates
    • Undergraduate Candidates (in alpha order by college)

University Faculty Marshals will escort the candidate to the stage in the following order:

  • Doctoral Candidates

Each candidate will hand the seating card to the faculty name caller on the stage who will read the name and dissertation information as printed on the seating card. Doctoral candidates are hooded by their academic dean.

  • Master's candidates are escorted to the stage by the University Faculty Marshals. Each candidate will hand the seating card to the faculty name caller who will read the name as printed on the seating card.

Note: The master's candidates will not be hooded on the stage but should put on their hoods during the line-up.

  • Undergraduate candidates are escorted to the stage by the University Faculty Marshals. Each candidate will hand their seating card to the faculty name caller who will read the name and graduation honor as printed on the seating card.

Note: Undergraduate candidates receiving graduation honors will be corded during the line-up prior to the procession into the auditorium.

Allot approximately two hours for the commencement ceremony.

Exiting after the Ceremony

  • After each ceremony, candidates will be led out of the building by the University Faculty Marshals. We ask that candidates and their families exit as quickly as possible from the building. It is important to leave the premises quickly in order to exit the parking lot before the crowd arrival for the next scheduled event.
  • Candidates may want to determine ahead of time the place outside of the building to meet up with family and friends. There will be several ideal photo settings available outside of the building. Again, please take your photos and move along as quickly as possible in order to exit the parking lot before the arrival of guests for the next scheduled event.
  • If participating in the afternoon ceremony, it is important to note there is another scheduled event at the building that evening. Again, exiting the parking lot will be important in order to avoid the incoming traffic for the next scheduled event.

Information for your Guests

  • Guests arriving with candidates may be seated in the auditorium immediately and are NOT permitted to enter the line-up rooms.
  • Tickets are not issued for commencement ceremonies.
  • There is not a limit to the number of guests who may attend the ceremony.
  • The saving of seats inside the auditorium is not permitted by guests.
  • Food concessions will not be available.
  • Outside food or drink items are not permitted inside the building.
  • Smoking is not permitted in the building, nor on the premises. Please be considerate of the venue regulations.
  • Guests should remain seated once the procession of the candidates begins. University Faculty Marshals will be stationed throughout the processional to prohibit guests from interrupting the entry.
