Creating a Teleconference Bridge Meeting

To schedule a teleconference meeting, use Outlook and follow these steps:

  1. In Outlook, navigate to the Calendar.

  1. From the Home tab, select New Skype Meeting. An invitation with the teleconference information is generated.
  2. Select Meeting Options in the Meeting tab on the generated invitation. A Skype Meeting Options dialog box will display and the options can be adjusted as needed. Once done, click OK

  1. Options to review include the type of digital meeting space you would like.
    1. A new meeting space allows you to have more control on the permissions and provides a little more security.
      1. It is recommended to turn off the option to “Announce when people enter or leave” especially if there are a lot of people invited. The notifications can become a distraction.
      2. You can also indicate who can be presenter.
    2. A dedicated meeting space allows the conference call-in information to always remain the same, but is less secure. You also are unable to configure settings.

For users calling in, the invitation description will include a phone number and conference ID to use to call into the meeting.

TIP:  When creating the meeting invitation, the conference call in number and conference ID can be used in the Location field in the following format: 1-936-294-2663,,conference ID#. This feature allows those joining from a smartphone to automatically dial the phone number and enter the conference ID with just one touch.

Special Notes

The organizer is required to call into the meeting. If the organizer has not called into the meeting, other meeting participants will wait in a virtual waiting room until the organizer arrives on the meeting.
