Facility / Room Rental Rules
Rentee: Sam Houston Memorial Museum

Reservation requests may be made: Monday - Friday 8:00 a.m. - 4:30 p.m.
Section 1 - Facility/Room Rental Hours

Section 2 - Description of Facilities/Rooms:
Meeting Room (room 209): (located on the main level)
- 532 sq. ft.
- Accommodates up to 50 people
- 10 folding tables w/ 6 folding chairs each
- designed for: demonstrations, hands-on workshops, small meetings
- FOOD & DRINKS ALLOWED
Auditorium (ROOM 207) : located on the main level
- 165 Fixed, theater-style seats
- Projection booth
- Lectern/stage area
- Designed for: film/slide shows, large classes, lectures, etc.
- NO FOOD OR DRINKS
Activity Room (room 115): located on the lower level
- 2295 sq. ft
- Accommodates up to 150 people
- Designed for: catered lunches, banquets, receptions, large meetings
Covered Patio : located on the lower level
- 2054 sq. ft.
- Mainly used in conjunction w/ the Activity Room
- Designed for: outdoor receptions, dances, barbecues, and other events.
Grounds:
- White Gazebo (located at 19th St. & Ave O)
- Brown Gazebo (located at Sam Houston Ave & 19th St.)

**The Atrium of the Walker Education Center is not available for outside group use.**
Section 4 - Rental Rate Policies:
- Rates quoted are for the basic use of the Katy & E. Don Walker, Sr. Education Center.
- If the rental fee is not paid by due date (or by the agreement made with the Facility Manager), the result will be a forfeiture of the reservation.
- EXTRAS: Piano (in auditorium only) - $25, plus the cost of tuning of this instrument done at Renter’s expense. Audio-Visual Equipment - $25. Museum personnel will provide, at no charge, one initial room or facility set-up as requested. This request must be on file no less than one week before the event.
- All pre-event and post-event activities must be included in the reserved 4-hour block. If a Renter reserves more than one 4-hour block and finishes before time is expired, no adjustments apply.
- If a Renter’s event goes beyond reserved 4-hour block, Renter will be assessed for the next 4-hour block.
Section 5 - General Reservations Policy:
- All reservations must be made through the Facility Manager.
- Museum personnel will provide, at no charge, one initial room or facility set-up as requested. Each change of set-up after, by Museum personnel, will result in a $25 charge.
- Rooms must be left in the original condition found by the Renter.
- Any physical changes to a room must be approved by the Facility Manager. (i.e. decorations, furniture, stage property, etc.) Any unauthorized adjustments will be restored at the expense of the Renter.
- The Katy & E. Don Walker, Sr., Education Center will not be responsible for the overnight storage of display, materials, equipment, etc. left in the rented room.
- All Renters are responsible for the removal of ALL decorations and props immediately after the event.
- Furnishings and equipment belonging to the Katy & E. Don Walker, Sr. Education Center will not be permitted to leave the premises for any reason.
- Improper use of furniture, fixtures, or equipment will not be permitted. Renter will be responsible for any damages to the Facility property due to their negligence or vandalism. Damage costs will be assessed to the Renter responsible for the damage.
- Renters will be responsible for the behavior and/or damage caused by their members/guests.
- No pets/animals are permitted inside the Katy & E. Don Walker, Sr. Education Center. Exceptions to this policy are guide animals for the physically challenged, or animals used in law enforcement.
- Smoking is not permitted inside the Katy & E. Don Walker, Sr. Education Center.
- Gambling is not permitted in or around the Katy & E. Don Walker, Sr. Education Center.
- Possession or use of intoxicating beverages is not permitted in or around the Katy & E. Don Walker, Education Center except in compliance with the Alcoholic Beverage Policy. (Ask Facility Manager for more details.) There will be no alcohol for any function honoring anyone under the age of 21.
- The Katy & E. Don Walker, Sr. Education Center will not responsible for any articles lost in the building. Articles found in the building will be taken to the Museum Store for proper handling and/or forwarding to the University Police Department 936-294-1794.
- Renters are not permitted to solicit funds or sell goods in or around the Katy & E. Don Walker, Sr. Education Center without written permission of the Museum Director & the Facility Manager.
- All consumable trash items must be bagged and taken to the available dumpster outside the Katy & E. Don Walker, Sr., Education Center by the Renter.
Section 6 - Cancellation Policy
- Deposits are subject to cancellation policies.
- Failure to notify the Facility Manager of a cancellation 24 hours in advance of scheduled use will result in forfeiture of the deposit.
- Renters are encouraged to cancel their reservations as soon as possible, in order to avoid being assessed a late cancellation fee.
Section 7 - Decorations Policy
- All decorations must be approved by the Facility Manager. Failure to do so may result in damage costs.
- The use of clear/transparent tape, duct tape, glue, thumb tacks, or nails on doors, posts, ceilings, walls, floors, furniture, or other building fixtures is prohibited. A mild, adhesive masking tape may be used on floors, glass, vinyl, or other non-painted surfaces with prior approval by the Facility Manager.
- The use of hay, and other flammable materials cannot be permitted.
- The use of crepe paper (possibility of stain damage) cannot be permitted.
- Decorations must be self-supporting.
- Decorations must be made or prefabricated outside the Katy & E. Don Walker, Sr. Education Center, & free standing when brought into the building. Hammering, Sawing, Nailing, Painting, etc. cannot be permitted inside building
- Large wooden, metal, plastic, cardboard, or other decoration materials cannot be discarded in Museum or University trash dumpsters. It is the sole responsibility of the Renter to properly remove such items from Museum property.
- The Sam Houston Memorial Museum, Sam Houston State University, and the Katy & E. Don Walker, Sr. Education Center will not responsible for any injuries that may occur while an individual or group is decorating for an event.
- Special effect machines, (i.e. smoke machines, bubble machines, fog machines, mirror balls, fountains, etc.), are not permitted.
Section 8 - Deposits/Payments
- Deposits are subject to the cancellation policy.
- Deposits are: ½ of overall Room Rental Fee.
- A deposit for a room rental is due on the day of application paperwork is signed.
- If 24 hours notice of cancellation is not given by Renter, deposit will be forfeited.
- Payments for Room Rental must be received by the Facility Manager prior to the event.
- If paying by check, please make check out to : Sam Houston Museum.
- No credit cards accepted.
- Please keep all receipts of payments.
- Your deposit is important! This is the only guarantee that the room is reserved for the Rentee.
Section 10 - Caterers
- The Katy & E. Don Walker, Sr., Education Center has no contract with a certain caterer. The Renter has full approval to use whichever caterer they choose.
- If the Renter decides to serve alcohol at the event, special rules apply. The Renter has full responsibility to get with the Facility Manager and discuss the Alcoholic Beverage Policy.
- Caterers must clean-up the area they use, Renter is responsible for all messes or damages made by caterers. A $25 clean-up fee applies to Renter if caterer does not clean-up.
